Managing Submissions in Formstack

After your form is published and shared, managing submissions is a key part of maintaining data accuracy, responding efficiently, and supporting the process behind the form. Whether you're gathering survey responses, handling service requests, or reviewing internal approvals, Formstack offers a flexible submissions dashboard with tools for reviewing, analyzing, editing, and exporting form entries.

This guide covers how to work with submissions using Formstack’s built-in features and KAUST-specific best practices.


Viewing Submissions

To view submission entries:

  1. Log in to https://kaustforms.formstack.com
  2. Click Forms from the top navigation
  3. Locate and open your form
  4. From the left menu, click Submissions

The submissions dashboard provides several ways to view data:

  • Table View: Displays entries in a row-by-row grid with sortable columns
  • Detailed View: Opens an individual submission as a full form
  • Filters: Filter submissions by date, field values, or status
  • Quick Search: Search by keyword or field value

Example: An academic department reviewing student nominations can filter by status or program.


Charts and Visual Reporting

Formstack’s Charts tab lets you visualize your data directly within the form:

  • Create bar charts, pie charts, or line graphs
  • Visualize responses to specific fields (e.g., department, status)
  • Apply filters for targeted reporting
  • Download or embed chart summaries

Example: Visualize how many service tickets came from each KAUST department.


Editing Submissions

Form owners can edit any submission to correct or update information:

  1. Go to the Submissions tab
  2. Select a submission and click Edit
  3. Make your changes and click Update Submission

Changes are logged and reflected in the submission history. You can also enable resubmission via link if the respondent needs to update their entry.


Exporting Submission Data

To export submissions:

  1. Select one or more entries from the Submissions tab
  2. Click Export
  3. Choose your export format:
    • CSV or Excel
    • PDF (individual or batch)
    • Word (formatted version)

Example: Export all internship applications to Excel for review by multiple faculty members.


Automating Notifications

Formstack allows notifications to be sent when submissions are received. These can be directed to:

  • The form owner
  • A shared inbox (e.g., shared-services@kaust.edu.sa)
  • The individual who submitted the form

Notifications can be customized to include submission content, file attachments, and dynamic subject lines.

Example: A request form sends a confirmation to the requestor and a notification to the Procurement Team.


Approval Workflows

If your form includes one or more approval steps:

  • View real-time status in the Approvals tab
  • Track decisions, rejections, and comments
  • Route approvals based on department or logic rules

Approval workflows can be parallel or sequential and are fully tracked within the submission record.


Analytics and Optimization

The Insights tab shows form performance metrics:

  • Submission and completion rates
  • Partial submissions (if enabled)
  • Field bottlenecks
  • Abandonment trends

Example: A grant submission form shows drop-off in the “Budget Details” section, prompting a redesign.


Access, Storage, and Retention

  • Submissions are securely stored in Formstack by default
  • Uploaded files remain available unless routed to OneDrive
  • Export or archive data at the end of the academic or project cycle
  • For sensitive data, consult KAUST data policies or contact the IT Service Desk

Best practice: Regularly archive submissions from completed events or cycles to support data hygiene and compliance.
