Setup My Email

KAUST email includes access to mail, calendar, directory, and contact tools. Depending on your role and account configuration, your email may be provided through either Outlook or Gmail.

Students, Researchers, and Postdoctoral Fellows: use Gmail
Faculty: your account may use either Outlook or Gmail, depending on your account configuration

Which Email System Do I Use?

KAUST currently operates two email platforms depending on role and affiliation. Students, researchers, and postdoctoral fellows use Gmail, while most staff and similar employee groups use Outlook. Accounts are created automatically during onboarding for most community members. Additional or temporary accounts can be requested through the KAUST Connect Account Request Form.

Access Email

From a web browser
  • Open Outlook
  • Open Gmail
  • If you are unsure which platform your account uses, try Outlook first. If your account is not recognized there, try Gmail.
On KAUST-managed devices

If you are using a KAUST-issued device connected to the KAUST domain, Outlook typically configures automatically after sign-in with your KAUST credentials.

Set Up Email on Mobile

3 simple steps
1. Install the app
Download the Outlook app or Gmail app on your phone or tablet.
2. Sign in
Open the app and enter your KAUST email address and KAUST Connect password.
3. Approve authentication
Approve the login with DUO if prompted.

No manual server configuration is needed for standard access.

People Search and Email Signature

Find a colleague or department

Use KAUST People Search to look up contact details, job titles, office locations, email addresses, phone numbers, and reporting lines.

Create a professional email signature

Follow the Email Signature Guide to create a consistent and professional signature aligned with KAUST branding.

Who to Contact for Help

  • Staff, CWF, Consultants, and related employee groups using Outlook: contact your department administrator or the IT Service Desk if your credentials are missing
  • Students, Researchers, and Postdoctoral Fellows using Gmail: contact your Academic Advisor or the Registrar’s Office
  • Faculty: if you are unsure whether your account uses Outlook or Gmail, first confirm which platform your account is configured for
  • Service Providers and Visitors: submit a KAUST Connect Account Request to request or renew access

The current page routes students to Academic Advisor or Registrar support, and routes staff-style groups to department administrators or the IT Service Desk.

Security reminder

Always sign in through the official Outlook or Gmail login pages linked above, and approve DUO prompts only when you are actively signing in.

Email Limits and Guidelines
