GPU/Export-Controlled Component Procurement Procedure – Approval Process & Workflow

This procedure was established to support KAUST’s commitment to ethical research, secure procurement, and adherence to international compliance frameworks. It applies to any KAUST faculty, researcher, staff member, or student requesting high-performance GPUs or export-sensitive hardware.

This page outlines the approval process and workflow for GPU and Export-Controlled Components at KAUST. The workflow is designed to ensure compliance with the regulatory framework established by the U.S. Department of Commerce's Bureau of Industry and Security (BIS).

Compliance with U.S. Export Control Regulations

Certain GPU and hardware models are subject to restrictions under the Export Control Classification Number (ECCN) list. Before initiating procurement, it is critical to determine whether the component falls under these regulations. This includes both:

  • Server Architecture GPUs: high-performance computing components intended for datacenter or cluster deployments.
  • Workstation GPUs: individual units intended for desktop or research workstation environments.

KAUST’s review process ensures all such requests undergo the necessary checks for regulatory compliance prior to approval to purchase.

Request Workflow

If you are planning to request a GPU or any export-controlled hardware component, you must complete the official request form. This form routes the request for review and approval by the appropriate KAUST export compliance and procurement teams.

Who Can Submit

This form is intended for KAUST personnel only. Please ensure you have discussed your request with your supervisor or PI before submission.

Estimated Review Time

Requests will be reviewed as quickly as possible. Depending on the component and export compliance requirements, additional information may be requested.

Compliance Acknowledgment

The requester and individuals involved related to the online submitted request form agree to abide by KAUST's Export Control Compliance Policy, KAUST GPU/Export-Controlled Component Procurement Procedure, Acceptable Use Policy, and Code of Conduct. The requester confirms that the information provided in the request form is current, accurate, and complete to the best of his or her knowledge. If there are changes relevant to the information requested in the request form, the requester will promptly notify the GPU/Hardware Review Team via email at ECReview@kaust.edu.sa and provide updated information.
