Microsoft 365 at KAUST

Microsoft 365 is KAUST’s core digital productivity environment for email, documents, cloud storage, collaboration, and everyday work. It gives you access to familiar tools such as Outlook, Word, Excel, PowerPoint, OneDrive, and more across web, desktop, and mobile.

Whether you are working in the office, classroom, lab, or remotely, Microsoft 365 helps you stay connected, productive, and secure.

A simple way to think about it:

Outlook = email and calendar

OneDrive = your personal work files

SharePoint = team-owned files and shared sites

Teams = chat, meetings, and collaboration

Planner = task tracking

Power Platform = apps, automation, and reporting

Who can use Microsoft 365 at KAUST

Microsoft 365 is available to all people with a @kaust.edu.sa account, including faculty, staff, researchers, and students.

  • Students can use Microsoft 365 apps, but student email is hosted in Gmail through Google Workspace
  • Some faculty and post-docs also use Gmail for KAUST email
  • Service Providers with a @kaustsp.com email address also have full Microsoft 365 access

How to sign in

  1. Go to office.com
  2. Select Sign in
  3. Enter your KAUST email address
  4. You will be redirected to the KAUST Single Sign-On page
  5. Sign in using your KAUST username and password
  6. Complete multi-factor authentication if prompted

Note: Multi-factor authentication is required when you are off campus or using mobile data. It is also enforced when you are not connected to iCampus or Uni-Fi, including residential home networks.

How to access Microsoft 365 on different devices

KAUST-managed Windows devices

All KAUST-managed Windows laptops and desktops come pre-installed with Microsoft 365 applications.

Commonly installed apps include Outlook, Word, Excel, PowerPoint, OneNote, OneDrive, Loop, Access, Visio, and Project.

KAUST-managed Mac devices

KAUST-managed Mac devices also come with Microsoft 365 apps where supported.

Native macOS apps commonly include Outlook, Word, Excel, PowerPoint, OneNote, OneDrive, and Loop. Access, Visio, and Project are not available as native Mac apps.

Web access

You can use Microsoft 365 from any modern browser through office.com without installing software.

Personal devices

KAUST users can install Microsoft 365 on up to five personal devices by signing in to office.com and selecting Install Office.

Mobile and tablets

Microsoft 365 apps are available on iOS and Android, including Outlook, OneDrive, Word, Excel, PowerPoint, and OneNote. This is useful for email, quick file access, and working on the go.

  1. Sign in to office.com
  2. Check Outlook and confirm your calendar access
  3. Open OneDrive and confirm your files are accessible
  4. Install desktop apps if needed on your device
  5. Learn the difference between OneDrive, SharePoint, and Teams
  6. Request any extra services your work may require

Do

  • Use OneDrive for personal work files
  • Use SharePoint for team-owned files
  • Collaborate in web or desktop apps with autosave enabled
  • Install apps on your devices if you need the desktop experience
  • Use Outlook rules and folders to manage email volume
  • Learn where Teams, SharePoint, and Planner fit before creating new workspaces

Avoid

  • Storing team-owned files only in OneDrive
  • Creating unnecessary Teams, sites, or planners without clear purpose
  • Assuming your email platform determines whether you have Microsoft 365 access
  • Ignoring MFA prompts when off campus and then blaming the universe
