Overview

SharePoint Online is KAUST's platform for team collaboration, document management, and secure information sharing. KAUST IT can create and configure a SharePoint site tailored to your team or project needs.

Who can request

Any KAUST community member with a @kaust.edu.sa email address may request a SharePoint site for academic or business purposes.

Students

If you are a student, check with your PI (principal investigator, the faculty member who leads your research group) before requesting a SharePoint site. Your PI can request it, or you can submit the request yourself and select them in the On Behalf field.

How to request

Submit your request through any of the following channels. See the What to include section below to prepare the details you will need.

Online

Submit your request through the IT Service Center. It goes straight to the team that provisions Microsoft 365 collaboration tools.

Call the IT Service Desk and a team member will open a request on your behalf.

What to include in your request

Having these details ready will help us process your request quickly.

Site nameChoose a clear, concise name. Example: Graduate Funding Portal
Preferred addressFormat: kaust.sharepoint.com/sites/YourSiteName
Example: kaust.sharepoint.com/sites/GraduateFunding
PurposeA brief description of what the site is for
Site ownersNames and KAUST email addresses of the people responsible for the site. Name at least two, so someone can always manage it.
Members and permissionsKAUST accounts or groups and the access each needs. Members can edit content. Visitors can read only.
External sharingAny external domains that need access. Examples: aramco.com, neom.com. Leave blank if none.

External sharing needs a business reason

Sharing a site outside KAUST is subject to KAUST information security requirements. Only approved external domains are granted access, so include the reason with your request.

What happens next

Review. The KAUST IT team will review your request and confirm the details with you.

Provisioning. Once approved, your site is created and configured.

Access. Site owners receive confirmation and instructions for managing the site.
