Getting Started with KAUST Events

KAUST Events is a digital platform that enables event organizers to plan, manage, and host in-person, virtual, or hybrid events. It is powered by Webex Events (formerly Socio) and supports everything from registration and agendas to live event apps and branding.

Overview

KAUST Events allows you to build and manage events with a fully customizable interface. The platform supports live and hybrid formats and is used across campus for conferences, forums, workshops, and internal programs. Once onboarded to a Webex Events team, you can create and launch your own branded event pages and activate event features such as registration, speaker listings, agendas, and mobile apps.

Before You Begin

Before using KAUST Events, a Webex Events Team must be created for your department or program. This setup gives designated team members access to manage events and assign credits.

If you are unsure whether you are set up, contact the IT Service Desk to request access:

  • Call 012-808-0910 (or dial 910 from KAUST phones)
  • Use VITA on the KAUST IT website
  • Submit a request via servicedesk.kaust.edu.sa
  • Visit the IT Service Desk (Building 14, Level 2)

Logging In

  1. Go to platform.socio.events/login
  2. Enter your KAUST email address and click Continue
  3. Log in using your KAUST Single Sign-On credentials

Creating an Event

  1. From your dashboard, click Create Event
  2. On the Basics page, enter the following:
    • Event Name: How attendees will recognize your event
    • Event Type: Conference, forum, workshop, etc.
    • Expected Attendance: Estimate for platform scaling
    • Managing Team: Choose the team managing the event
    • Contact Email: A point of contact for event-related updates
  3. Click Save & Continue

Setting Event Details and Appearance

  1. On the Details page:
    • Select your Event Type: In-Person, Virtual, or Hybrid
    • Add Location using the integrated Google Maps tool (if applicable)
    • Set Event Start and End Dates and Times
  2. Click Save & Continue
  3. On the Appearance page:
    • Select a Theme Color to match your event branding
    • Toggle Dark Mode if preferred
    • Upload a Logo for your event
  4. Click Create Event to move to the Event Overview page
