As part of KAUST IT’s continued efforts to strengthen cybersecurity and manage software usage effectively, a new security requirement and platform housekeeping guidelines have been introduced for all Formstack users.

Two-Factor Authentication Now Mandatory for All Formstack Users

Effective immediately, all Formstack subscribers—including those accessing Formstack via shared or generic accounts—must enable Two-Factor Authentication (2FA).

• If you are logging in with your KAUST email (e.g., firstname.lastname@kaust.edu.sa), you will continue using KAUST’s Single Sign-On (SSO).
• However, a second authentication step (2FA code) will now also be required.

To help you get started, we've prepared a step-by-step guide to walk you through the 2FA setup process.

This change is critical in enhancing the protection of sensitive form data and aligning with KAUST’s cybersecurity policies.

No Longer Using Formstack? Avoid Unnecessary Charges

If you or your team no longer need access to Formstack, please contact the IT Software Team at software.administration@kaust.edu.sa to have your license removed. This will ensure you are no longer charged for the license.

Help Prevent Cost Increases: Review and Clean Up Your Forms

As our use of Formstack grows, so does the risk of reaching our storage and form count limits. If we exceed these limits, KAUST may incur additional licensing costs. You can help by regularly reviewing and cleaning up your Formstack account.

Recommended Cleanup Actions

• Delete forms that are outdated, unused, or created for testing purposes.
• Export and remove old form submissions—especially those with large file uploads (e.g., videos).
• Organize your forms: move items out of the ‘Uncategorized’ folder and review forms stored in ‘Archive’, as these also count toward our license quota.
