Overview
Google Meet is Google's video conferencing and online meeting platform, available to the KAUST community through KAUST accounts. It is especially common among faculty, researchers, postdoctoral researchers, and master's and PhD students who work primarily in Google Workspace.
Like KAUST's other supported video conferencing tools, Google Meet is available for anyone to use when it best fits the way they work. It integrates closely with Google Calendar and other Google Workspace tools, making it easy to schedule meetings, collaborate, and connect with colleagues and external participants.
Choose the Tool That Works for You
KAUST supports multiple video conferencing platforms. You are free to use Google Meet whenever it best fits your work, collaboration needs, or the people you are meeting with.
No Desktop App Required
Google Meet can be used directly from a supported web browser, so you do not normally need to install a desktop application to join or host a meeting.

Hold department, project, research, or working-group meetings online.

Meet with research collaborators at KAUST or other institutions.
Teaching and Discussions
Support academic discussions, seminars, advising sessions, and online collaboration.
External Meetings
Invite external collaborators and guests using a Google Meet meeting link.
Access and Sign In
Access Google Meet from a Web Browser
- Go to meet.google.com.
- Sign in using your KAUST account.
- Select New meeting to start or schedule a meeting, or enter a meeting code or link to join an existing meeting.
Mobile Access
Google Meet is available on iOS and Android. You can join meetings from the Google Meet app or directly from Google Calendar.

Schedule and Join Meetings
Start from Google Meet
- Go to meet.google.com.
- Select New meeting.
- Choose to start immediately, create a meeting for later, or schedule in Google Calendar.
- Share the meeting link with participants if needed.
Schedule from Google Calendar
- Open Google Calendar.
- Create a new event.
- Select Add Google Meet video conferencing.
- Add your guests, date, time, and meeting details.
- Save the event and send the invitation.

Use Google Calendar to schedule Meet meetings so the meeting link, guests, date, time, and event details stay together.
Join a Meeting
You can join Google Meet using:
- A Google Calendar invitation
- A Google Meet link
- A meeting code entered at meet.google.com
- The Google Meet mobile app
Present and Share Content
During a meeting, select Present now or the presentation control to share content with participants.

Protect What You Share
When possible, share a specific window or browser tab instead of your entire screen. This reduces the chance of accidentally displaying email, notifications, private messages, or other sensitive information.
Host Controls
Google Meet provides meeting hosts with controls for managing participants and the meeting experience. Available controls can vary depending on your account and meeting configuration.
Manage Participants
Add or remove participants and manage who is allowed to take part in the meeting.
Control Meeting Access
Manage how invited and uninvited participants enter your meeting.
Manage Participation
Depending on meeting settings, hosts can manage participant audio, video, chat, and other capabilities.
During a meeting, look for Host controls or Meeting options to review the controls available to you.
Recording, Transcripts, and Meeting Notes
Google Meet can support meeting recording, transcripts, and AI-assisted meeting notes depending on the Google Workspace edition, KAUST configuration, your account, and the type of meeting. These options may not be available to every KAUST account.
If Recording Is Available
- Participants are notified when recording starts or stops.
- Recordings are generally saved to the meeting organizer's Google Drive.
- Recording controls may be limited to hosts or other authorized participants.
Before You Record or Transcribe
Make sure participants understand when a meeting is being recorded, transcribed, or processed by an AI-assisted feature. Only use these capabilities when appropriate for the information being discussed.
Tips and Best Practices
Use a Headset
A headset can improve audio quality and reduce echo, particularly in shared spaces.
Check Before Joining
Confirm that the correct microphone, speaker, and camera are selected before an important meeting.
Mute When Needed
Mute your microphone when you are not speaking if there is background noise.
Share Only What You Need
Share a window or browser tab when possible instead of exposing your entire desktop.
Use a Stable Connection
Use a reliable Wi-Fi or wired network connection for important meetings when possible.
Silence Notifications
Consider turning off desktop notifications before sharing your screen.
Security and Privacy
Use Google Meet responsibly and apply the same care you would when holding an in-person meeting or sharing information through other KAUST systems.
Only invite people who need access to the meeting.
Review meeting access settings when hosting sensitive or restricted discussions.
Be careful when sharing your screen, browser, or documents.
Do not share meeting links publicly unless the meeting is intended to be open.
Use recording, transcription, or AI-assisted meeting features only when appropriate.
Ensure information shared during meetings complies with applicable KAUST policies and information security requirements.
