Third-Party Apps in Microsoft 365: How to Remove Them and Protect Your Data

Third-Party Apps in Microsoft 365

Third-party apps can improve productivity, but they may capture meeting audio, messages, calendar data, or files. Follow the steps below to disconnect apps from your KAUST account, stop bots from joining meetings, and delete your data with the provider.

1) Disconnect the app from your KAUST Microsoft account

  1. Open: https://myapplications.microsoft.com/
  2. Sign in with your KAUST email address and password if prompted.
  3. On the Apps dashboard, find the third-party app you want to remove.
  4. Select the ellipsis (…) on the app tile and choose Remove, then confirm.
  5. Choose Manage your application. Under Permissions you consented to, select Revoke consent for any listed permissions, then confirm.
  6. Restart the Microsoft 365 app you were using, or sign out and back in, to clear cached views.
Tip: If you do not see the Remove option, the app may be centrally deployed by KAUST IT.

2) Stop meeting bots from joining Microsoft Teams meetings

Use these options to prevent or remove bots added by third-party services:

  • Before the meeting: Turn off any auto-join or add-to-meeting options in the service’s settings.
  • When the meeting starts: If a bot requests to join, deny the request.
  • If the bot is already inside (host only): Open Participants, select the bot, then choose Remove from meeting.
  • In the meeting chat: Some services support commands such as Stop or Opt Out to leave or delete captured data.

3) Remove Outlook add-ins you no longer need

  • Outlook on the web: Settings > Manage add-ins. Turn off or remove the add-in.
  • Outlook desktop: File > Manage Add-ins to open the web add-ins manager. Turn off or remove the add-in.

If the add-in was deployed by KAUST IT, you will not be able to remove it.

4) Delete your account and data with the provider

Disconnecting the app in Microsoft stops access to your KAUST identity. The provider may still hold your data. For privacy and security, delete your account with the provider and revoke any remaining integrations.

  1. Go to the third-party provider’s website and sign in.
  2. Delete your account or request deletion of your data.
  3. Revoke any residual permissions or integrations shown in their account settings.
  4. Keep a confirmation for your records.

Good data hygiene checklist

  • Review your Apps dashboard monthly at myapplications.microsoft.com.
  • Remove apps you do not use. Revoke consent for unused permissions.
  • Avoid granting meeting, calendar, or file access unless essential for your work.
  • Prefer KAUST-supported tools for recording, transcription, and collaboration.
  • Check Outlook add-ins and Teams apps regularly. Remove what you do not need.
Important: KAUST IT does not support third-party meeting bots or unapproved integrations. Keeping them installed may pose privacy or security risks. Please use KAUST-supported tools across Microsoft 365.
