⚠️ Scheduled Change: A configuration change will take place at 8:00 PM on Thursday, November 13, 2025 to enhance the overall security and permissions between the KAUST Microsoft 365 environment and Formstack.
As a result, some existing OneDrive integrations within Formstack may need to be reconnected after this update. Please review the instructions below to ensure your forms continue working as expected.
If you use Formstack forms with file upload fields, your form may rely on an integration with Microsoft OneDrive to store uploaded files securely. Due to recent changes in authentication and security settings, some existing Formstack–OneDrive integrations may need to be reconnected.
Why This Matters
Formstack’s built-in storage is limited, and KAUST IT strongly recommends connecting all file uploads to Microsoft OneDrive for:
- Scalability: Increased storage capacity through your KAUST OneDrive.
- Security: Data remains within KAUST’s protected Microsoft 365 environment.
- Accessibility: Files can be accessed and managed directly through OneDrive.
If your form is no longer accepting uploads, or if you receive an error when attempting to submit attachments, it’s likely the integration has broken and must be reconnected.
Important: Formstack limits uploaded files to 25 MB per submission. Larger files will not upload successfully, even when connected to OneDrive.
How to Reconnect or Set Up the OneDrive Integration
- Log in to Formstack
Go to https://kaustforms.formstack.com and sign in with your KAUST credentials. - Open the Form Settings
Select the form that includes file uploads, click Settings, then Integrations. - Find or Add Microsoft OneDrive
Scroll through the integrations list.
- If OneDrive is already connected, click Reconnect.
- If it’s not listed, click Add next to Microsoft OneDrive.
Select Microsoft OneDrive under Integrations and click Add.
- Authenticate Your Account
When prompted, sign in using your KAUST account (username@kaust.edu.sa) to authorize access.
Click Log in to Microsoft OneDrive and complete the authorization process.
- Select the OneDrive Folder
Choose or create the folder where uploaded files will be saved. You can organize submissions by creating subfolders or using naming prefixes.
Select your preferred OneDrive folder for uploaded files.
- Test the Connection
Submit a test form with an uploaded file to confirm that it appears correctly in your linked OneDrive folder.
Note: Each form must be connected separately. Reconnecting one form does not automatically fix other forms.
