Formstack Storage Cleanup & Best Practices
Helping the KAUST community maintain reliable, secure, and efficient form services by managing storage responsibly.
Formstack uses a shared storage model across KAUST. While storage capacity has been expanded over time, continued growth, especially from file uploads, can impact form submissions for everyone when limits are reached.

As part of our shared responsibility, we encourage all form owners to regularly review and clean up their submissions to ensure the platform continues to operate smoothly for the entire community.

What we ask you to do
  • Delete old or unnecessary submissions, especially those with file attachments
  • Download and archive important files to SharePoint if long-term storage is needed
  • Review forms using file uploads and update their storage configuration
Recommended approach for file uploads
Formstack’s native storage is limited and shared. For better scalability, security, and accessibility, we recommend integrating your forms with Microsoft OneDrive.

All KAUST accounts include OneDrive, making it the preferred location for storing uploaded files.

Important: Formstack limits uploaded files to 25 MB per submission.
How to connect your form to OneDrive

Log in to Formstack: https://www.formstack.com

  1. Open your form and go to Settings → Integrations
  2. Select Microsoft OneDrive and click Add
  3. Sign in and authorize your KAUST account
  4. Repeat for each form that includes file uploads

Optional: Automatically move files to SharePoint
If you prefer storing files in SharePoint for team access, you can use Microsoft Power Automate to move files automatically from OneDrive.

How to set it up:
  1. Go to https://make.powerautomate.com and sign in
  2. Search for the template: Copy files between OneDrive for Business and SharePoint
  3. Select your OneDrive folder where Formstack uploads are stored
  4. Choose your SharePoint site and destination folder
  5. Sign in to any services if prompted
  6. Click Create to activate the flow
