When Shortcuts Cause Sync Problems: OneDrive and SharePoint Libraries
Short, practical guidance for the KAUST community.
It is tempting to add shortcuts from SharePoint libraries into OneDrive to keep everything in one place. It looks convenient, but it often creates problems with the OneDrive desktop app.
Bottom line: shortcuts from SharePoint libraries can break syncing on your computer.
What happens
- OneDrive tries to sync the shortcut as if it were a personal folder.
- SharePoint libraries already have their own sync process, which leads to conflicts.
- The result can be stuck syncs, missing files, or duplicate folders.
Important: Do not create shortcuts from SharePoint libraries into OneDrive. Use the Sync option in SharePoint instead.
The right way to sync SharePoint
- Open the SharePoint site and go to the library you need.
- Select Sync from the command bar.
- The library appears in File Explorer under KAUST – [Site Name] – [Library Name].
If you already created shortcuts
- In OneDrive on your computer, right-click the shortcut folder and choose Remove shortcut.
- Open the original SharePoint library in your browser.
- Select Sync.
- Files will now appear reliably in File Explorer.
Why this matters
- Reliable: fewer errors and conflicts.
- Accessible: always visible in File Explorer.
- Secure: managed within KAUST’s Microsoft 365 environment.
