This page lists all official IT service alerts shared with the KAUST community. Alerts are also delivered directly to your KAUST email.

Standard Weekly Maintenance Window

Thursday at 5:00 PM to Saturday at 8:00 PM. During this window, some services may experience temporary slowdowns, intermittent issues, or brief outages while essential maintenance is performed.

Vendor-Scheduled Maintenance

Some KAUST systems hosted on the KAUST Portal (portal.kaust.edu.sa) are maintained directly by our cloud vendor. These activities are scheduled quarterly and are independent of KAUST IT's regular maintenance windows. They may temporarily affect the availability or performance of several online services.

About IT Alerts and the Change Advisory Board

The Change Advisory Board (CAB) is a cross-functional group within KAUST IT that reviews and approves proposed IT changes to maintain service reliability and reduce risk. The CAB Chair is appointed by the Chief Information Officer (CIO).

For urgent or high-impact situations, the Emergency Change Advisory Board (ECAB) may be activated to ensure timely decisions while protecting service stability.

When Are Alerts Issued?

All IT changes are reviewed under the Change Management process. When communication is needed, an IT Alert is published and shared with the KAUST community. This includes:

  • Scheduled or planned service changes
  • Changes affecting specific groups or areas (such as faculty, students, or building residents)
  • Unplanned outages or urgent service issues

Planned Maintenance - KAUST Visitors Management System (VMS), Software Application License Server Maintenance, Network Switch Upgrade in Residential Areas, and SAP Systems Maintenance

Please find below the planned IT maintenance activities that may affect access to IT services. Kindly review the impact and follow the recommended actions to avoid any disruption.

KAUST Visitors Management System (VMS)

When: Tuesday, July 29 at 10:00 PM to Wednesday, July 30 at 4:00 AM
Impact: VMS will be unavailable to submit new business and personal visitor requests. Delays may occur at KAUST gates for entry and exit.

Action required:

  • For KAUST Community Members (with KAUST ID):
    • Carry your physical KAUST ID if possible.
    • Alternatively, take a screenshot of your Digital ID from KAUST Central or access it directly at vms.kaust.edu.sa/DigitalID.
    • To reduce gate delays, residents are encouraged to remain on campus during this period unless travel is essential.
  • For Business and Personal Visitors:
    • New visitor requests cannot be submitted during the downtime.
    • Submit all access requests by 7:00 PM on Monday, July 28.
    • For urgent visitor needs during the outage, email VisitorCenter@KAUST.EDU.SA.
    • The Security Team at Gate 1 will assist with manual entry procedures.

Application License Server Maintenance

When: Thursday, July 24 at 8:00 PM to Friday, July 25 at 4:00 AM
Impact: Licensed applications will be unavailable during this time.

Action required:

  • Do not open or use licensed applications during the maintenance window.
  • If already in use, save your work and close the application before 8:00 PM on Thursday.

Network Switch Software Upgrade in Residential Areas

When: Monday, July 28 to Thursday, July 31
Daily Window: 9:00 AM to 4:00 PM
Impact: Temporary outage (10 to 15 minutes) of internet, IP phones, wireless network, and connected systems in residential units

Action required:

  • You may experience one brief service interruption, lasting 10 to 15 minutes, during the maintenance window.
  • Save your work and plan ahead for potential interruptions in connectivity.
  • All IT communications in affected homes, including internet, Wi-Fi, IP phones, and fire alarm systems, will be temporarily unavailable during the upgrade.

SAP System Maintenance

When: Sunday, July 20 from 1:00 AM to 5:00 AM
Impact: Brief slowness or temporary unavailability (up to 15 minutes)

Action required:

  • Save your work and log out of affected systems before the maintenance begins.
  • Avoid starting new tasks or transactions during the maintenance window.
  • If a system is unresponsive, wait 5 to 10 minutes and try again.
