Skip the Scheduling Back-and-Forth with Microsoft Bookings

23 September, 2026

"Are you free at 2?"

"I can't do 2. How about 3:30?"

"Thursday?"

Finding 30 minutes that works shouldn't require six emails.

Microsoft Bookings lets people choose from the times you're actually available, without the usual back-and-forth.

Let people choose a time that works

If your KAUST email and calendar are on Outlook, Microsoft Bookings gives you a personal booking page that you can share with other people.

You decide when you're available, what kinds of meetings people can book, how long they last, and how much space you want between them. Bookings works with your Outlook calendar so it can offer times when you're actually free.

Choose your availability

Control when people can book time with you.

Offer different meetings

Create different meeting types, durations, and booking options.

Avoid double-booking

Bookings uses your Outlook availability so times you're already busy are not offered.

Meet online

Bookings can include Microsoft Teams meeting details automatically.

People see when you're available, not what's on your calendar

Someone using your booking page sees the time slots you've made available that are still free. They do not need access to your Outlook calendar or the details of your existing appointments.

It can work with people outside KAUST too

Your personal booking page can be shared with external contacts as well as KAUST colleagues. That makes it particularly useful when scheduling with collaborators, vendors, partners, or anyone else who cannot see your KAUST calendar.

Instead of suggesting several possible times and waiting to find out which one works, send your booking link. They can see the times you have made available that are still free and choose one that works for them.

A useful addition to your email signature

If you regularly receive meeting requests, add your personal Bookings link to your email signature. People can go straight from your email to choosing an available time.

Bookings can go beyond your own calendar

The same idea can scale from scheduling time with one person to coordinating a team, service, or shared resource.

Book me

Use a personal booking page when people need to schedule time directly with you.

Book us

Use a team booking page when a department, service, or group needs one shared scheduling experience.

Book it

Use a shared booking page when people need to reserve a room, lab, piece of equipment, training session, or another resource.

Use the simplest option that fits

Bookings is useful when someone needs to choose from available times. That does not mean every calendar problem needs a booking page.

Sharing team events? A Microsoft 365 Group Calendar is simpler.

Managing people and coverage? Microsoft Teams Shifts is designed for that.

Booking a normal meeting room that's already available in Outlook? Keep using the normal Outlook room reservation.

Who can use Bookings?

Staff and eligible faculty whose KAUST email is on Outlook can create and manage Bookings pages.

Students, post-docs, researchers, and others whose KAUST email is on Gmail cannot host their own Bookings pages, but they can still use a Bookings link to schedule time or make a reservation.
